Privacy Policy
How ScentID Solutions collects, uses, and protects information when you use this website.
1. Who we are
This website is operated by ScentID LLC, a Maryland limited liability company trading as ScentID Solutions ("ScentID Solutions", "we", "us", "our"). Our registered address is 306 W Redwood St STE 201, Baltimore, MD 21201, United States.
For the purposes of applicable data protection law, ScentID LLC is the controller of the personal information described in this policy.
2. Scope of this policy
This policy explains what personal information we collect through scentidsolutions.com and how we use it. It does not cover any separate product, application, or service that has its own privacy notice, and it does not cover third-party websites we link to.
3. Information we collect
Information you provide to us
If you submit our contact form, we collect the information you enter into it:
- Your name and email address (required)
- Your company name and website (optional)
- The subject category you select
- The content of your message
If you email us directly, we receive whatever you choose to include in that email. If you send us an open job application, we receive the background information you send us.
Information collected automatically
Our hosting provider records standard server log information when you visit, which may include your IP address, browser type and version, the pages you request, referring page, and the date and time of the request. This is generated automatically by the act of loading a web page and is used to operate and secure the site.
Information stored in your browser
If you use the light/dark theme switch, your preference is saved in your browser's local storage so the site remembers it on your next visit. This value stays on your device, is readable only by this website, and is never transmitted to us. You can clear it at any time by clearing your browser's site data.
We do not use advertising cookies, and we do not run third-party analytics or tracking scripts on this website.
4. Third parties that process data on our behalf
- Netlify hosts this website and processes contact form submissions. Netlify receives the server log data described above and the contents of any form you submit.
- Google Fonts serves the typefaces used on this site. When your browser loads a font, it makes a request to Google's servers, which receives your IP address and browser information. We do not control that processing.
- Porkbun provides our domain registration and email forwarding, and therefore handles email you send to our published addresses.
If you click through to our LinkedIn page, LinkedIn's own privacy policy applies to that visit.
5. How we use your information
- To respond to your enquiry, proposal, or application
- To communicate with you about a project or working relationship you have asked about
- To operate, maintain, secure, and improve this website
- To keep records of business correspondence
- To comply with legal obligations and to establish or defend legal claims
We do not use your information to make automated decisions that produce legal or similarly significant effects about you.
6. Legal bases for processing
Where the UK GDPR or EU GDPR applies to you, we rely on the following legal bases:
- Legitimate interests — responding to enquiries, running and securing our website, and managing our business correspondence
- Steps prior to entering a contract — where your enquiry concerns potential work together
- Legal obligation — where we must retain or disclose information by law
- Consent — where we ask for it separately and you give it; you may withdraw consent at any time
7. Sharing your information
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
We disclose personal information only to the service providers named in section 4, to professional advisers where necessary, to a successor entity in connection with a merger or acquisition, or where we are required to do so by law, court order, or a valid request from a public authority.
8. Retention
We keep enquiry correspondence for as long as needed to deal with your enquiry and for a reasonable period afterwards for business records, ordinarily no longer than three years from our last contact with you, unless a longer period is required by law or a live matter.
Open job applications are kept on file for up to twelve months so we can contact you if a suitable role opens, unless you ask us to delete them sooner. Server logs are retained for a short period by our hosting provider for security and diagnostics.
9. Security
This website is served over HTTPS, and we rely on our hosting provider's infrastructure security controls. We limit access to enquiry data to people who need it to respond to you. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Please do not send confidential, sensitive, or proprietary information through the contact form. If you need to share something sensitive, tell us and we will arrange a secure method.
10. Your rights
Depending on where you live, you may have the right to request access to the personal information we hold about you; to have inaccurate information corrected; to have your information deleted; to restrict or object to certain processing; to receive your information in a portable format; and not to be discriminated against for exercising these rights.
If you are a California resident, the CCPA/CPRA gives you rights to know, delete, and correct your personal information, and to opt out of sale or sharing. As noted above, we do not sell or share personal information.
To exercise any of these rights, email legal@scentidsolutions.com. We will verify your request and respond within the timeframe required by applicable law. You may also have the right to lodge a complaint with your local data protection authority.
11. International transfers
We are based in the United States and our service providers are principally located there. If you access this site from outside the United States, your information will be transferred to and processed in the United States, which may have data protection laws that differ from those in your country.
12. Children's privacy
This website is directed to businesses and professionals, not to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, contact us and we will delete it.
13. Changes to this policy
We may update this policy as our business or the law changes. When we do, we will revise the "last updated" date above. Material changes will be made clear on this page. Please review it periodically.
